WHAT YOU’LL DO:

The objective of the AR team is to ensure timely payments from the invoiced external facilities by resolving any disputes or discrepancies. The AR team interacts with customers via phone calls and emails on a regular basis. The AR & Collections Specialist’s responsibilities include but are not limited to: establishing and maintaining relationships with customers, addressing inquiries, resolving issues and ensuring timely and accurate collections in accordance with policies, procedures, agreements and other objectives as set forth by management. Provide aging, detailed accounts receivable records keeping and suggestions to management for process improvements.

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO :

  • 2-3 years of B2B collections experience

  • Monitor the accounts receivable aging and contact customers to secure payments on outstanding account balances

  • Research any payment discrepancies

  • Acknowledge customers emails and/or calls within 24-48 hours

  • Resolve customer issues to minimize payment disputes and AR adjustments

  • Identify problem accounts and deliver timely and acceptable resolution; escalate, if needed

  • Resolve discrepancies between invoices and appropriate accounting supporting records

  • Build relationships with customers to ensure superior customer service

  • Other duties as assigned

This position requires the following minimal requirements:

  • Communication - communicates clearly and concisely, both verbally and in writing, spell correctly and transcribe accurately

  • Interpersonal Skills - ability to work effectively with other employees and customers

  • PC Skills - demonstrates proficiency in Microsoft Office with proficiency in Outlook and Excel (v-lookups and pivot tables a plus); Lawson and Workforce 2.0 a plus

  • Analytical skills - ability to perform basic math calculations, balance and reconcile records and balances, punctuate properly

  • Demonstrates knowledge and understanding of organizational policies and procedures

EDUCATION:

  • Bachelor’s degree preferred

  • High school diploma or GED required

PHYSICAL DEMANDS/WORKING CONDITIONS:

  • Requires lifting papers or boxes up to 20 pounds occasionally.

  • Requires prolonged sitting and some bending, stooping, and stretching.

  • Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment.

  • Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.

  • Work is performed in an office environment and involves frequent contact with staff and the public.

  • Work may be stressful at times. Contact may involve dealing with angry or upset people.
